CAPPS Style Guide
ProjectONE is the name of the effort to create a statewide Enterprise Resource Planning (ERP) solution for Texas state agencies. Note that there is not a space between “Project” and “ONE.” The name is spelled as one word.
Centralized Accounting and Payroll/Personnel System (CAPPS) is the name of the financial and HR/payroll system that is being implemented by ProjectONE. Note that the word “and” is spelled out. Do not use an ampersand (&).
- On first reference in an article, email or Web update, spell out the name of the system and introduce the CAPPS acronym in parentheses.
- Example: “The Centralized Accounting and Payroll/Personnel System (CAPPS) is currently being implemented for the Department of Information Resources and the Texas Department of Transportation.”
- On second and subsequent reference, use the acronym only.
- Example: “CAPPS will be more cost effective over time to maintain and upgrade than current statewide accounting systems while offering greater accuracy and functionality.”
When do I use ProjectONE and when do I use CAPPS?
Use ProjectONE when you are describing the overall ERP effort in Texas. This will often be in reference to the team of people who are working to implement CAPPS.
- “Agency involvement is an important part of the ProjectONE approach."
- “The ProjectONE team includes staff from the Comptroller’s office as well as SMEs from participating agencies.”
Use CAPPS when you are describing the system itself and its capabilities.
- “CAPPS will replace USAS, USPS, SPRS and TINS.”
- “Because CAPPS will address multiple requirements in each report, agencies will be able to eliminate many of their existing reports.”
- “Texas could lead the nation in fiscal accounting best practices and taxpayer transparency when CAPPS is implemented statewide.”
In some cases, you may use both terms in a single sentence.
- “Over the next several years, ProjectONE will implement CAPPS for other state agencies as funding becomes available.”
- “The ProjectONE team facilitated workshops for hundreds of agency staff who provided requirements to be included in CAPPS.”
- “CAPPS will be updated as the ProjectONE team receives user feedback from agencies.”
